Salesforce to Salesforce Lightning Migration and Optimization

The Challenge

For over a decade, the R.O. Writer team worked with a Salesforce Classic instance that, while reliable, had grown increasingly outdated. Recognizing the R.O. Writer’s need for innovation and improvement, we embarked on a transformative journey to Salesforce Lightning Experience. The project involved migrating data, implementing new automations, upgrading security, enhancing reporting, and moving to Marketing Cloud Account Engagement (fka Pardot). This project aimed to advance Salesforce operations by automating tasks, simplifying data access, and optimizing revenue operations.

The Solution

After clearly understanding all the requirements, our team moved into the Build and QA phase. Our primary focus was adopting the Lightning experience, updating business processes, enhancing security and compliance, and improving overall reporting efficiency.

Custom Configuration and Setup
Martech Do Team created and configured various elements within Salesforce, including default and custom fields, page layouts, paths, and record types. Necessary configurations were made in both core and custom objects to tailor the solution to the client’s specific needs.

Salesforce Flows Migration and Sales Optimization
Our expertise and experience enabled us to migrate all automation to Salesforce Flows because Salesforce workflows are set to retire in 2025. Additionally, we implemented a quote process for sales management, created custom contract types, and set up dependent price books to enhance the overall sales process.

Report and Dashboard Migration
We migrated reports and dashboards from one Salesforce org to another at the client’s request and built new reports to track expansion efforts.

DocuSign Integration
We integrated DocuSign with Salesforce, including field mapping, template automation, and envelope migration from the old org.

MCAE Technical Setup
Special attention was given to the MCAE baseline technical setup and the configuration of the Salesforce connector for seamless campaign management.

CRM Data Migration
We migrated Salesforce to Salesforce data, including core and default objects and related activities.

User Acceptance Testing (UAT)
Throughout the process, we conducted User Acceptance Testing (UAT), demoing the solution for client testing. Based on consolidated user feedback, we implemented refinement requests to ensure the final product met all client expectations.

Train-the-Trainer Sessions
In the final phase, we conducted train-the-trainer sessions, providing comprehensive training materials, recordings, and documentation on:

  • Salesforce Overview
  • Revised Opportunity Management
  • Reporting and Dashboards
  • Flows, Automation, and Validation Rules
  • Salesforce Lighting Optimization
  • New Processes

The Results

  • All required data was successfully transferred from the old production system to the new one.
  • New automation was created in alignment with the sales processes, and existing automation was optimized.
  • The new production environment is fully operational and ready for use.
  • The admin team has been trained and provided with comprehensive documentation.
